Getting the most from Medstaff Locum Tenens

The purpose of this guide is to provide you with a quick reference once you have signed and returned Medstaff's locum tenens agreement. If your question is not answered completely or if you require more specific details, please call your account manager.

PRESENTATION OF PHYSICIAN CANDIDATES

After the Client Agreement, Schedule A and Practice Profile have been signed and returned, your account manager will begin contacting you on a regular basis to maintain your current coverage needs. Once a candidate has been identified, your account manager will present the candidate's credentials to you; and you will be given the opportunity to accept or decline each candidate presented until a suitable candidate has been identified.

NOTE: Please remember that all candidates are presented to you only after receiving their permission and availability information.

HOSPITAL/CLINIC PRIVILEGING

We encourage you to contact your medical staff office and ask them to forward a copy of their required application to Medstaff at the time you return your agreement. However, upon your acceptance of a physician, Medstaff will contact your hospital's medical staff office to obtain a privileging application if we have not received one. Medstaff will return the completed application and all supporting documents in a timely manner.

SCHEDULING CHANGES

If scheduling changes occur, please contact your account manager immediately so that the physician may be informed. Medstaff will do everything possible to accommodate your requests. If more coverage is needed than anticipated, please let your account manager know so that we can extend the Medstaff- supplied physician's stay or begin locating additional candidates for you.

COVERAGE CANCELLATION

Medstaff understands that your coverage needs may change. If this occurs, please contact your account manager immediately as we require a 30-day notice of termination. Also keep in mind that once our physician accepts your assignment, he/she is "committed" to your assignment only. The 30-day notice gives Medstaff time to find other work in event of the cancellation of your coverage.

ORIENTATION

Medstaff strongly recommends that each physician be given an orientation prior to initial patient contact. You will want to be sure the locum tenens physician is familiar with your staff, procedures, and physical layout of the practice.

Suggested areas to cover during orientation include:

  • Equipment
  • Documentation/Charting
  • Dictation
  • Referral of patients
  • Treatment philosophy
  • Projected number of patients to be treated
  • Phone number and contact person whom physician can reach at all times during assignment

TRAVEL/HOUSING ARRANGEMENTS

As indicated on your coverage agreement, you have the option to arrange and pay for local housing and transportation, or, if you wish, allow Medstaff's in-house travel department to make all arrangements for the Medstaff-supplied physician. Should Medstaff make such arrangements, you will only be billed for actual costs incurred.

If you choose to make these arrangements for the Medstaff-supplied physician, please keep in mind:

  • Cleanliness
  • Safety
  • Comfort
  • Noise level
  • Proximity to work

For long-term assignments (more than three weeks), facilities with a kitchenette (refrigerator and microwave) are always preferred.

If you are supplying a rental car, please provide one that is both practical and dependable (we recommend a mid-size). Be sure to take into consideration any special driving needs (4-wheel drive during snow storms, for example).

BILLING/TIME VERIFICATION SHEETS

Medstaff will send invoices on a bi-monthly basis. These dates fall on the 7th and the 22nd of each month. Billing on the 7th includes services provided between the 16th and the last day of the prior month. Billing on the 22nd includes services provided between the 1st and the 15th of the same month. Please note that there may be a 1-2 month delay in invoices for housing and transportation as Medstaff must await receipt of actual invoices.

For each billing period, the physician will have an authorized representative sign his/her time verification form to verify hours during which services were provided. Medstaff encourages physicians to present time forms to clients in a timely manner.

Medstaff is accessible 24 hours a day, seven days per week for any after-hour emergencies. Our normal business hours are Monday through Friday, 8 a.m. - 6 p.m. EST. Please call us at 800-476-3275
